Privacy Policy

1. Who we are

1.1Sport Freelancers is an online marketplace at sportfreelancers.com (the Platform). It is run by SportFreelancers Ltd, a company registered in England and Wales under company number 17031149, whose registered office is at Butts Business Centre, Butts Road, Chiseldon, Swindon, England, SN4 0PP (we, us, our).

1.2We are the controller of the personal information described in this policy. That means we decide how and why it is used, and we are responsible for it under UK data protection law (the UK GDPR and the Data Protection Act 2018).

1.3We are registered with the Information Commissioner's Office (ICO) under registration number To be confirmed.

1.5Words with capitals, like Buyer, Seller, Listing and Order, mean the same as in our Terms of Service.

2. What we collect

2.1When you create an account: your first, middle (optional) and last name, your email address, your password (stored only as a secure scramble we can't reverse), and a record that you confirmed you are 18 or over and accepted our Terms and this policy (with the date and the version you accepted).

2.2Your profile: anything you add to it. For Buyers, that is a short description and your preferences (such as favourite sports). For Sellers, it also includes your display name, headline, bio, years of experience, profile photo, intro video, the sports and categories you offer, your availability (weekly hours, time off and any note you add), and the qualifications you ask us to check.

2.3Your Listings (Sellers): the title, description, packages, prices, the questions you ask Buyers, and the photos and videos you add.

2.4Orders: what was bought, from whom, when and for how much. The answers and files a Buyer gives the Seller when ordering. What the Seller delivers, including files and messages. Cancellations, and any note given with them.

2.5Messages: what you send through the Platform's chat, including attachments, and when you read messages.

2.6Reviews, reports, disputes and support: reviews you write (star ratings and comments), reports you make about Listings or reviews, what you tell us and upload during a dispute, and messages you send to our support team.

2.7Payments: records of what was paid, refunded and passed to Sellers. Card and bank details are collected by our payment provider, Stripe, and not by us. We never see or store full card numbers.

2.8Technical information: when you use the Platform, our servers record your IP address, your browser type, the page you asked for and when. We also use the cookies listed in section 11. We do not use analytics, advertising or tracking tools.

3. Health information and children

3.1Health. Many services on the Platform involve your body: physiotherapy, sports psychology, nutrition, coaching after an injury. Our Terms ask Buyers to tell Sellers about injuries and medical conditions that matter to a session. So order answers, messages and files may contain health information. The law treats this as special category data.

3.2We only use health information to let you and the Seller carry out the Order, and to handle disputes and safety concerns about it. It is never public, never used for marketing, and only seen by the people on the Order and, when needed, our staff (see section 8).

3.3Children. Only adults can hold an account. Parents and guardians book services for their children. Information about a child may appear in order answers, messages and files (for example, footage of a match). This is private to the Order. Sellers must not publish images of anyone under 18 without written consent from a parent or guardian (Terms, 12.6).

4. Why we use your information

4.1Data protection law says we need a lawful reason for each way we use your information. Ours are:

4.2Where we rely on legitimate interests, we have weighed them against your rights. You can ask us about this, or object, at any time (section 13).

5. Qualifications and DBS checks

How we check qualifications and DBS, and which documents we keep, is still being decided. The wording below is our working plan, not final.

5.1Sellers can ask us to check their qualifications, so that Buyers can see which have been confirmed. We only keep what we need to show a qualification has been checked.

5.2DBS checks are carried out through an external DBS checking service To be confirmed. We do not receive or store your DBS certificate. We only record whether the check came back clear, and when it expires.

5.3Once a qualification is confirmed, its name (for example, "Enhanced DBS Check") appears on the Seller's public profile. The documents behind it are never public.

6. What other people can see

6.1Anyone, without an account: a Seller's public profile (display name, headline, bio, photo, intro video, sports, categories, confirmed qualifications, availability and upcoming time off), their Listings with photos and videos, and their reviews.

6.2Reviews show the reviewer's first name and last initial (for example, "Sam T."), the rating and the comment.

6.3The other person on an Order or chat sees what you send them: order answers, files, deliveries and messages.

6.4Everything else, including your email address, your legal name (for Sellers) and your payment records, stays private.

7. Who we share it with

7.1We do not sell your information, and we do not share it with advertisers.

7.2We share it only with:

  • The other person on your Order , as described in section 6.
  • Stripe , our payment provider. Stripe takes Buyers' payments, and checks Sellers' identity and bank details when they set up payouts. Stripe is a controller in its own right for some of this; see Stripe's privacy policy.
  • SMTP2GO , which sends our emails. It receives your name, email address and the email itself, which may include a short preview of a message you were sent.
  • Our hosting and file storage providers , who run our servers and store uploaded files: To be confirmed
  • Banks and card networks , if a Buyer disputes a payment with their bank (a chargeback). We may share Order details and messages to respond.
  • Professional advisers , such as lawyers and accountants, when needed.
  • The police, regulators and courts , when the law requires it, or to protect someone from harm.
  • A buyer of our business , if SportFreelancers Ltd is ever sold or merged. They would have to follow this policy.

7.3Our service providers may only use your information to provide their service to us.

8. When our staff look at your information

8.1Our staff may read Order details, messages and files when they need to: to settle a dispute, look into a report, deal with a safety concern, or answer a support request.

8.2Every time a staff member opens a conversation they are not part of, we record who opened it and when.

9. International transfers

9.1Some of our providers, including Stripe and SMTP2GO, may process your information outside the UK. When they do, we make sure it is protected to UK standards, for example by a UK adequacy decision or the ICO's International Data Transfer Agreement To be confirmed.

10. How long we keep it

10.1After the grace period, your name, email address, password, photo and bio are erased for good.

11. Cookies

11.1A cookie is a small file a website stores in your browser. We use six. All of them are needed for the Platform to work or to remember a choice you made. None tracks you, and none is shared with anyone. So we don't need to ask your permission, and there is no cookie banner.

12. Emails we send you

12.1Always sent: emails about your account (such as verifying your email or resetting your password), about your money (refunds, cancellations, disputes), and important messages from our team. You can't turn these off while you have an account.

12.2You choose: order updates, new-message alerts, message digests and review requests. Turn them on or off in your settings.

12.3Marketing: only if you opt in. It is off unless you turn it on in your settings, and every marketing email has a link to stop them.

13. Your rights

13.1You have the right to:

  • Get a copy of your information. The quickest way is Download your data in your settings, which gives you everything we hold about you. You can also email us.
  • Correct it, if it is wrong. Most of it you can change in your settings.
  • Delete it. Use Delete account in your settings. Some information is kept for the reasons in section 10.
  • Object to us using it for legitimate interests, including promoting the Platform with your public content.
  • Restrict how we use it while a complaint is being looked into.
  • Move it to another service (the download is in a standard format, JSON).
  • Withdraw consent at any time, where we rely on consent. This doesn't affect what we did before.

13.2To use any of these rights, email legal@sportfreelancers.com. We will reply within one month. It is free.

13.3If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

14. Over-18s only

14.1The Platform is for people aged 18 or over. We don't knowingly collect information from children through accounts. If you think a child has an account, email us and we will close it.

15. Changes to this policy

15.1We may update this policy. If a change matters, we will tell you by email or on the Platform before it takes effect. The date at the top shows when it last changed.
